Refund & Cancellation Policy

Plans change, and we would rather be clear about what that costs than surprise you later. This policy explains how to cancel a booking with Ghuringfiring, what is refundable, and how long the money takes to reach you.

In short

  • Cancel 30 days or more before departure and you keep 90% of what you paid.
  • Approved refunds go back to the account you paid from within 7–14 working days.
  • Visa government fees, issued air tickets and no-shows cannot be refunded.

1. What this policy covers

This policy applies to everything you can book with Ghuringfiring: tour packages, ship and cruise departures, hotel and resort stays, transport, and visa processing services.

Some products are sold to you on behalf of another supplier — an airline, a hotel chain, a cruise operator or an embassy. Where that supplier's own rules are stricter than ours, their rules apply to their part of your booking. We tell you about any such condition in writing before you pay.

2. How to cancel

Send your cancellation in writing — by email, or through the same channel you booked on — from the email address or phone number on the booking. We cannot accept a cancellation from someone who is neither the lead traveller nor the person who paid.

  • A cancellation takes effect from the moment we receive it, not from the date written on your message.
  • A request that reaches us outside office hours is treated as received on the next working day.
  • We confirm every cancellation in writing. If you have not had that confirmation, assume the booking is still live and call us.

Cancellation charges are counted in calendar days before the departure date, not working days.

3. Cancellation charges

For tour packages and ship departures the charge depends on how much notice we have. The percentages apply to the total price of the booking, not to the amount paid so far — if you cancel late having paid only a deposit, the balance of the charge is still due.

Peak dates — Eid holidays, the winter cruise season and government holidays — are often sold to us on non-refundable terms. Where that is the case we say so on your invoice before you pay.

4. Hotel and resort stays

A stay booked on its own follows the property's own cancellation rules, which are shown on the booking page and repeated on your confirmation. Most properties allow free cancellation up to 48 or 72 hours before check-in; some discounted rates are non-refundable from the moment they are confirmed.

A stay that forms part of a tour package follows the package rules in section 3 instead.

5. Visa services and air tickets

Visa fees paid to an embassy, consulate or their appointed centre are not refundable once an application has been submitted, whatever the outcome. A refused visa is a decision of that mission alone; it is not a service failure on our part and does not entitle you to a refund of the government fee.

Our own visa service charge is refundable only while we have not yet lodged your file. Once it is submitted, the work is done.

Air tickets follow the fare rules of the airline that issued them. Many discounted fares are non-refundable, and refundable fares usually carry an airline cancellation charge as well as our ticketing service fee. We pass on exactly what the airline returns to us.

6. What is never refundable

  • Government and embassy fees, visa processing fees and travel tax already paid on your behalf.
  • Issued air tickets on non-refundable fares.
  • Payment gateway and bank charges on the original payment.
  • Services you chose not to use — a missed meal, a skipped excursion, an unused hotel night, or leaving a trip early.
  • Bookings where you could not travel because your documents were incomplete, expired or refused.

7. How and when refunds are paid

Refunds go back to the account the payment came from. We cannot send a refund to a different person, a different bKash or Nagad number, or a different card.

  • bKash, Nagad and other mobile wallets: 7–14 working days from approval.
  • Card payments: 7–14 working days from approval, then up to one billing cycle before your bank shows it.
  • Bank transfer: 7–14 working days, to account details you confirm in writing.
  • Cash paid at our office is refunded by bank transfer or mobile wallet, never in cash.

The payment gateway's charge on the original transaction is not returned to us, so it is deducted from the refund.

8. If we change or cancel your trip

If we cancel a confirmed departure, or change it so substantially that it is no longer the trip you booked — a different departure date, a materially different route, or accommodation of a lower standard — you may choose any one of the following, and no cancellation charge applies.

  • Move to another date or another trip of the same value, paying or receiving the difference.
  • Accept a credit note valid for 12 months.
  • Take a full refund of everything you have paid us.

9. Events outside anyone's control

Natural disaster, cyclone or flood warning, epidemic, war, civil unrest, strike or hartal, port or airport closure and government restriction are outside the control of both of us. Where one of these stops a trip going ahead, we refund everything we can recover from our suppliers and offer a credit note for the rest.

We do not charge our own service fee in these cases, but we cannot refund money a supplier has already spent or refuses to return.

10. If something went wrong on your trip

Tell your guide or our office while you are still on the trip. Most problems can be fixed on the spot, and a problem we hear about for the first time weeks later is one we were never given the chance to put right.

If it could not be resolved then, write to us within 14 days of returning, with your booking reference and any photographs or receipts. We acknowledge every complaint within 3 working days and aim to settle it within 14.
